The Opportunity:

The Administrative Assistant II position within College of Sciences will coordinate and manage all aspects of the graduate academic programs (M.A. and Ph. D.) in collaboration with the faculty coordinator. This role manages all aspects of department marketing and social media accounts, including outreach for undergraduate and graduate programs. The Administrative Assistant II will facilitate the textbook adoption process for all courses and serve as asset coordinator for the department. In addition, collaboratively manage the front office and student workers with the Administrative Coordinator. Serving as backup for Administrative Coordinator as needed.

Responsibilities:

  • Office Operational & Academic: Establish and maintain front office procedures and guidelines. Assist faculty, staff, and students with routine inquiries. Coordinate arrangements of meetings for colloquiums, receptions and similar functions for the Chair. Monthly minute-taking for faculty/staff meetings and assist in gathering preparation materials for meetings. Maintain department website and social media marketing. Point of contact for Data Science Lab technology needs along with lab director. Serve as backup for front desk operations and assist with low-level IT support for faculty and the stats conference room.

  • Serve as property custodian and building liaison for the department. Manage property and computer inventory by tracking assets. Entering surplus items for pickup via the surplus database. Order keys for department. Maintain and order all equipment and supplies as needed. Assist faculty and students to reserve seminar room, classrooms and conference rooms. Reconcile all purchases, via workday.

  • Assist Chair in collection and submission of faculty academic assignments, in-unit assignments, faculty evaluations, data collection for department annual reports, syllabi, finals and office hours. Faculty Activity System (FAS) reporting, and other forms/agreements submitted to the college/university. Serve as liaison with university administration and the college. Maintain the Chair's calendar and review and track student complaints. Backup for front-line undergraduate questions and concerns and facilitating administrative forms for advising needs. Assist faculty as needed in running queries of Pegasus Mine Portal, manuscripts, correspondence, and seeking solutions on campus.

  • Liaison with external partners and data advisory board. Run logistical operations for Big Data Analytics Symposium such as coordinating speakers for keynotes, managing students contests, and working with industrial partners/sponsors or the symposium.

  • Other duties as assigned by supervisors.

Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Bachelor's degree.

  • 2+ years of relevant experience.

  • Proficient in Microsoft Office products including Excel, Word, Outlook, and Teams.

  • Ability to multi-task and prioritize in a fast-paced environment with deadlines across many areas of operations. Strong attention to detail and organization.

  • Strong communication skills, both verbal and written. Effectively communicate with all levels of management, co-workers in other departments, and students.

  • Ability to work well independently and value a team approach.

  • Experience in higher education is preferred.

  • Experience in Workday or other student/program management software is preferred but not necessary.
